Overview
This large educational foundation supports 1,500 international students from more than 50 countries and 300 faculty and staff members. Management processes in the education industry are highly specialized. Beyond finance systems, schools also need to integrate school administration, parent communication, teacher platforms, meal ordering, uniforms, and student affairs services.
The Challenge
Facing an aging system that could no longer be supported, the institution needed a more stable management platform aligned with school operations.
- System End-of-Life: The school previously used a local finance system that had become outdated, and the original vendor had closed down and no longer provided updates or support.
- Specialized Processes: The education sector has special operating models that require systems aligned with internal school processes and administration scenarios.
- Siloed Portals: School platforms, teacher-parent interaction, meal ordering, uniform purchases, and other processes needed to be integrated.
- Manual Workloads: Financial management needed a more efficient automatic reconciliation mechanism.
Solution & Implementation
To establish a stable platform, the school partnered with Tectura, leveraging their ability to use AX 2012 and CRM as a foundation to customize processes for educational institutions.
- Building a school-specific solution based on Microsoft AX 2012 and CRM.
- Adjusting internal operating processes to meet the special management needs of the education industry.
- Integrating the school administration platform, including teacher and parent platforms as well as student affairs services such as meal ordering and uniform purchases.
- Setting up an automatic reconciliation system to improve financial management efficiency.
Results & Impact
Taipei European School’s local finance system was aging and no longer supported by its original vendor. Using AX 2012 and CRM, Tectura built a customized new system that integrated school administration, parent-teacher interaction, meal and uniform services, and automatic reconciliation processes.
Digital transformation for educational institutions is not only about updating finance systems; it also involves the overall experience of students, parents, faculty, and administrative workflows. This case demonstrates how ERP and CRM can support special industry processes and improve school management efficiency and service quality.
